At JLD Driver Training we are committed to protecting your privacy and personal data that you provide to us. This policy explains when and why we collect personal information, how we use it, the conditions under which we may disclose it to others and how we keep it secure.

The legal basis for processing

Under GDPR, there are various grounds which are considered to be a ‘legal basis for processing’. The legal basis for processing should be determined by the Data Controller. At JLD Driver Training Ltd we follow these rules when dealing with all your data.

Where we are the Data Processor, the legal basis is determined by the Customer. Typically, the legal basis in this scenario is: ‘processing is necessary for the performance of a task carried out”

Where we are the Data Controller, the legal basis for processing is based on: ‘processing is necessary for the purposes of legitimate reason pursued by the controller’

It should be noted that in some circumstances this legal basis may vary, however, we always operate in full compliance with Data Protection Law and will only process data with a fair and reasonable legal basis for doing so.

How do we collect information from you? What type of information is collected from you?

JLD Driver Training collect data from you when you contact us or attend a training course, either on the telephone, via email or in person.

How is your information used?

JLD Driver Training will only use your information to:

  • Contact you as part of your training
  • Take payment for training
  • Upload completed training evidence on the relevant awarding bodies database.
  • Complete an attendance certificate where necessary.
  • Notify you of changes to training
  • Send you communications which you have requested
  • We do not sell your data to any 3rd party.

How is your information is stored? Who has access to your information?

JLD Driver Training has a document retention policy and only stores it for the required time that the awarding body requires us to. We review our retention periods for personal data on a regular basis. We are legally required to hold some types of information, for example data about your specific training, to fulfil our statutory obligations for up to six years. Your information will only be shared with the relevant training / awarding bodies for the purpose of your uploads only, (SQA, NUCO, DVSA, JAUPT, NLA, RTITB) for them to monitor and manage approved centres and the training uploaded to their systems. They also hold their own privacy policy which you can ask to view.

How long we may keep your personal information

We will only retain information for as long as is necessary to deliver the service safely and securely. We may need to retain some records to maintain compliance with other applicable legislation – for example finance, taxation, fraud and money laundering law requires certain records to be retained for an extended duration, in some cases for up to seven years. Awarding bodies have various time scales and we adhere to them for all documents we hold.

How you can access and update your information?

We will ensure that your personal data we hold is accurate, up to date and not kept for longer than necessary. We will safeguard against unauthorised or unlawful processing and accidental loss or destruction or damage to the data.

You have a right to ask us for the data we hold on you and our retention policy on this data. You also have the right to request that the data we hold on you is erased or rectified if we are not holding it on lawful grounds.
